Non-Refundable Components

  • Train tickets, flight tickets, and Volvo bus bookings โ€” refund governed by respective carrier policy
  • Special festival packages (Holi, Janmashtami, Diwali, etc.) โ€” 100% non-refundable once confirmed
  • Char Dham / Kedarnath / Badrinath packages during peak season โ€” special cancellation terms apply
  • Hotel deposits already paid to properties on your behalf
  • Helicopter bookings for Kedarnath / Vaishno Devi โ€” subject to helicopter operator’s policy
  • Entry tickets, permits, and government passes already purchased
  • Any package confirmed within 72 hours of travel date โ€” no refund applicable

All cancellation requests must be submitted in writing via email to info@vrindavantravelsmart.com or WhatsApp at +91 94114 14527.

The cancellation date is the date on which we receive written confirmation from you โ€” not the date of verbal communication. Bookings are considered cancelled only after you receive a Cancellation Reference Number from our team.

Refund Process

Submit Cancellation Request

Email us at info@vrindavantravelsmart.com or WhatsApp +91 94114 14527 with your booking reference number and reason for cancellation.

Receive Confirmation & Reference Number

Our team will acknowledge your request within 24 hours and share a Cancellation Reference Number. Please save this for future communication.

Refund Calculation

We calculate the eligible refund amount as per the cancellation schedule and inform you of the final refund amount in writing.

Refund Processed to Original Payment Method

Refunds are processed to the original payment method (UPI, bank account, card) within 5โ€“7 working days from the cancellation approval date.

Confirmation SMS / Email

You will receive an SMS and email once the refund has been transferred. Bank processing time may take an additional 2โ€“3 business days depending on your bank.

Rescheduling Policy

  • Rescheduling is allowed once free of charge if requested 15+ days before departure, subject to availability
  • Second reschedule or requests within 14 days of departure will attract a rescheduling fee of โ‚น500 per person
  • Rescheduled travel must happen within 6 months of the original travel date
  • Price difference (if any due to season change) will be charged additionally
  • Festival packages (Holi, Janmashtami) cannot be rescheduled under any circumstance
  • All reschedule requests must be made in writing; verbal requests will not be accepted
Force Majeure & Extraordinary Events: No refund or compensation will be provided for trip disruptions caused by natural disasters, floods, earthquakes, government-imposed lockdowns, riots, pandemics, or acts beyond our control. We will, however, try our best to reschedule or provide credit for future travel wherever possible.

If We Cancel Your Tour

  • In the rare event that Vrindavan TravelSmart cancels a confirmed tour, you will receive a 100% full refund within 5 working days
  • We will notify you at least 48 hours in advance if feasible, and offer alternative travel dates
  • We are not liable for indirect costs such as your independent travel bookings (flights, trains, etc.) โ€” please take travel insurance to cover these
  • We reserve the right to cancel group tours if minimum group size is not met; affected travellers will receive full refund or can join a different batch

General Terms

  • All bookings are subject to these terms & conditions. Booking confirmation implies acceptance of this policy.
  • Partial cancellations within a group booking are allowed; charges apply on per-person basis as per the schedule above.
  • Refunds will only be processed to the original payer’s account. Third-party refunds are not permitted.
  • Vrindavan TravelSmart is not responsible for personal expenses, medical emergencies, or trip interruptions not caused by us.
  • We strongly recommend purchasing travel insurance for all bookings above โ‚น5,000.
  • This policy is subject to change without notice. Policy in effect at time of booking will apply.
  • For disputes, the jurisdiction will be Mathura, Uttar Pradesh, India.
